manual handoffs identified across five teams in five days

─ 01 · Challenge

The challenge.

A Series A Tallinn fintech founder felt the team was drowning in tools. Slack here, Notion there, manual investor inquiry triage, copy-paste between Hubspot and Linear. The founder couldn't tell which automations would actually move the needle versus which would burn three months of dev time. They needed a clear, prioritised list — not another "AI consultant" presentation full of buzzwords.

─ 02 · Work

The work.

Five days. Days one and two: interviewed five people across product, sales, and operations. Watched them work. Mapped forty-seven manual handoffs. Day three: stack mapping — every tool, every API, every gap. Day four: ranked twenty-plus opportunities by hours saved per month and revenue impact. Day five: delivered a twenty-three-page Notion roadmap and a sixty-minute Loom walkthrough.

─ 03 · Outcome

The outcome.

The top recommendation — auto-routing investor inquiries via Claude — saved six hours per week immediately. The founder shipped four of the twelve quick wins themselves with their existing dev. Three months later they came back and bought €4,400 of builds from us.

Process · 4 phases

  1. 01

    Discovery interviews

    Day 1–2

Interviewed five people across product, sales, and operations. Watched them work. Listened for repeated manual tasks, decision bottlenecks, and copy-paste workflows.

  2. 02

    Stack mapping

    Day 2–3

Mapped existing tools, data flows, and gaps. Identified where AI plugs in versus where it doesn't. No 'AI everywhere' nonsense.

  3. 03

    Opportunity ranking

    Day 3–4

Listed twenty-plus opportunities. Scored each on impact, build cost, and risk. Top five got detailed scope with ROI math.

  4. 04

    Roadmap delivery

    Day 5

Twenty-three-page Notion roadmap delivered. Sixty-minute Loom walkthrough recorded. Founder decided which to build with us — and which to ship themselves.

  • 0212 quick wins shipped within 60 days
  • 03€4,400 of follow-on builds purchased

Best €1,490 we've spent. Not because of the deck — because of what it stopped us from building.
